Terms of Service
These terms govern your use of NineBox, a collaborative tool for running 9-box talent reviews. By creating an account or purchasing a plan, you agree to them on your own behalf or on behalf of the organization you represent.

1. About these terms
This agreement is between you (the “Customer” — an individual or the organization you represent) and NineBox (“we”, “us”). If you accept on behalf of an organization, you confirm you have authority to bind it. Where we process personal data on your behalf, our Data Processing Addendum also applies; for information about individuals’ personal data, see the Privacy Policy.
2. What the Service does
NineBox is a collaborative tool that supports talent review discussions. Organizers create a room, upload a roster, and invite evaluators by link or QR code; evaluators submit pre-meeting and live ratings of performance and potential; the team discusses each person and places them on the 9-box grid; results can be exported.
NineBox provides the tooling only. It is not a consultancy and does not make, recommend or validate talent decisions. You remain responsible for how you run your reviews, for the fairness and lawfulness of your process, and for compliance with employment law, works-council rules and internal policies that apply to you.
3. Accounts and security
- Organizers and administrators are responsible for their own credentials. Keep them confidential; passwords are stored only as a scrypt hash.
- Room links and QR codes grant access to a specific room. Organizers are responsible for how links are shared, for managing participants, and for locking or deleting rooms when a review is finished.
- Administrators are responsible for managing user accounts within their organization, including removing access for people who leave.
- Tell us promptly at privacy@ninebox.app if you suspect unauthorized use of an account or a leaked room link.
4. Plans and per-cycle licence
Licences are sold per review cycle: one cycle covers one complete talent-review round (the rooms, participants and evaluator seats listed for your plan). You can buy additional cycles at any time.
| Plan | Price (per cycle) | Typical use |
|---|---|---|
| Free | $0 | Trying the tool with a small team. |
| Starter | $49 | One focused review round for a single team. |
| Pro | $99 | Larger rounds with multiple rooms and evaluators. |
| Scale | $199 | Organization-wide or multi-unit cycles. |
Capacity limits (rooms, employees, evaluators) and the validity window of each cycle are as published on the Pricing page at the time of purchase, which prevails for that cycle. We may change plan contents for future purchases, but never for a cycle you have already bought.
5. Payments, refunds and cancellations
All payments are processed by Paddle, which acts as the Merchant of Record for our sales. This means Paddle is the seller of record for billing, tax and invoicing purposes; your payment details are handled by Paddle and never reach NineBox. See Paddle’s privacy policy.
- Prices are shown in US dollars and may be subject to tax, which Paddle calculates and handles.
- Refunds are handled by Paddle in line with its refund policy and with applicable consumer law. Where a statutory cooling-off right applies (for example, a 14-day withdrawal right for EU or UK consumers), Paddle and NineBox honour it, including any exceptions for digital content that has already been fully delivered and activated at your request.
- Cancelling means not purchasing a further cycle — there are no recurring subscriptions unless you explicitly choose one on the checkout page.
6. Acceptable use
You may use NineBox only for lawful talent reviews within your own organization. Specifically, you must not:
- upload personal data of people who are not employees (or candidates, where applicable) of your own organization, or data you have no lawful right to process;
- upload special category data (health, union membership and similar — see the Privacy Policy), or otherwise use the Service for anything unlawful, discriminatory or harassing;
- scrape, crawl, reverse engineer, decompile or attempt to extract the source of the Service, or probe it for vulnerabilities without our written permission;
- resell, sublicense or share credentials beyond your plan, or otherwise exceed the capacity of your plan to avoid paying for additional cycles;
- interfere with the Service or other customers, including by overloading it with automated traffic.
We may suspend rooms or accounts that create legal risk, until the issue is resolved.
7. Customer data and ownership
All content you upload or create in rooms — rosters, ratings, votes, notes and exports — belongs to you, the Customer. We process it only to provide the Service, on your instructions, as described in our Data Processing Addendum. We do not use your room content to train models, and we do not sell it.
You can export room results at any time; after export, the files are yours to manage. Deleting a room permanently and irreversibly destroys its data (see the Privacy Policy, section 6).
8. Availability and changes to the Service
The Service is provided on an “as is” and “as available” basis. We aim for high availability on Cloudflare’s global network, but we do not commit to any service level agreement (SLA) or uptime guarantee, and availability is on a best-efforts basis, including during maintenance and upgrades.
We may improve or change features over time. If we remove something material to how you run reviews, we will give reasonable notice where we can. Because room data is deleted destructively, we encourage organizers to export results after each review — NineBox is not an archive.
9. Intellectual property
NineBox retains all rights in the Service, including its software, design, nine-box visualizations, documentation and trademarks. These terms grant you a limited, non-exclusive, non-transferable licence to use the Service for your reviews, for the cycle you have purchased. You may not remove branding, build derivative products from the Service, or use our name and marks without permission. Your content remains yours (section 7).
10. Limitation of liability
To the maximum extent permitted by law, neither party is liable for indirect, incidental or consequential damages, lost profits or lost data. Our total aggregate liability arising from or relating to the Service is limited to the amount you paid us in the 12 months before the claim arose (for Free plans, to $50).
Nothing in these terms excludes or limits liability for fraud, for death or personal injury caused by negligence, or for any liability that cannot lawfully be limited.
11. Term and termination
- This agreement runs for as long as you use the Service. Either party may terminate at any time — you by closing your account or simply not purchasing a further cycle; we with reasonable notice if required by law or these terms.
- After termination, your rooms remain available for export for a grace window while your account is open. You may ask us to permanently erase all room data at any time, and we will complete a confirmed erasure request within 30 days.
- Sections that should survive termination do so: intellectual property, limitation of liability, and anything else by its nature intended to survive.
12. Governing law
Disputes will be resolved in the courts of the jurisdiction selected above, without regard to conflict-of-laws rules, except where consumer law grants you the right to bring proceedings in your place of residence.
